Privacy Policy and DPDP Notice.
What we collect, why, who helps us, and how to exercise your rights.
Applied Quantum Labs Pvt. Ltd. (“ProCare”, “we”, “us”) runs ProCare, a health companion on WhatsApp, and this website. This policy explains how we handle personal data and serves as our notice under the Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. We are the Data Fiduciary. You are the Data Principal. Read it together with our Terms of Use.
In short: we collect what we need to run ProCare for you, we do not sell your data, and you can ask us for a copy, a correction, or to stop, at any time.
1. What we collect
When you join the waitlist on this website
- Your name, your WhatsApp number, who the sign-up is for (yourself, a family member, or your patients as a doctor), the goals you tick (what you would like help with), and optionally your preferred language.
- The time you agreed to be contacted, the version of the consent wording you saw, and the page you signed up from.
- A keyed hash of your IP address, which lets us limit abuse but is not your IP address in readable form.
This website sets no cookies and runs no advertising or third-party analytics trackers. Our servers keep ordinary technical logs of requests.
When you use ProCare on WhatsApp
- Your number, name, age, language and the goal you tell us you want help with.
- What you send: messages, photos (of meals, meter readings and reports) and other files, and readings you report.
- Health information on your record: conditions, medicines, allergies, devices, readings, goals and report values. This is sensitive personal data and we treat it with extra care.
- Your reminders, consents, care-partner links and share links, and a record of the messages we send you.
- If you ask us to file a request or complaint with our team, the text of that request.
If you are a doctor
- The name, phone number and clinic details you give when you sign in, and what you do in the care-plan console.
2. Why we use it
- To send your invitation and contact you about it.
- To run the companion: read your messages and photos, reply in your language, keep your record, send the check-ins and reminders you have asked for, and prepare a copy of your record when you ask.
- To put emergencies first and to keep ProCare safe and protected from abuse.
- To share your information with the doctor you connect, the care partner you invite, or anyone you give a share link to, only as you direct.
- To keep the service running, and to find and fix faults.
We will not use your personal data for a different purpose without asking you again where the DPDP Act requires it.
3. Our legal basis and your consent
We process your data with your consent, which you give when you join the waitlist and when you begin using ProCare. Where the DPDP Act allows, we may also process data for a legitimate use, such as responding to a medical emergency. You can withdraw consent at any time by replying STOP on WhatsApp or by writing to privacy@procare.fit. Withdrawal does not affect processing that already happened.
4. Who helps us process your data
We do not sell personal or health data and we do not share it for advertising. We use these service providers, who process data on our behalf:
| Provider | What they do for us |
|---|---|
| Meta (WhatsApp Business Platform) | Delivers messages between you and ProCare. |
| Google (Gemini models, through OpenRouter) | Writes ProCare’s replies and reads your photos. |
| TypeSafe | Helps work out what a message means, for example whether it is an emergency. |
| Sarvam AI | Turns speech into text where you use voice. |
| Hetzner (cloud hosting) | Hosts our servers and database. |
| Monitoring and email tools | Record how the service performs, and email our team when someone joins the waitlist. |
| GitHub | Holds a request only when you ask us to file one with our team. |
We may also share data with a doctor or care partner you have connected, with people you give a share link to, and where Indian law, a court or a competent authority requires it.
5. Where your data is processed
Our servers are hosted with a cloud provider in Europe, and some providers above process data outside India. The DPDP Act permits transfers abroad except to countries the Central Government restricts. We choose providers that give contractual protections for the data they handle.
6. Security
We protect personal data with reasonable security safeguards, including encrypted connections, access limited to the people who need it, and checks on how our systems are exposed. No system is perfect. If a breach affects you, we will tell you and the authorities as the law requires.
7. How long we keep it
We keep your information for as long as you use ProCare and as long as needed for the purposes above or required by law. Waitlist entries are kept until your invitation has been sent or you ask us to remove them. When we no longer need data, we delete it or make it anonymous.
8. Your rights
Under the DPDP Act you have the right to:
- know what personal data we hold about you and how we use it;
- ask us to correct inaccurate or incomplete data;
- ask us to erase your data, subject to retention the law requires;
- withdraw your consent;
- have a grievance addressed; and
- nominate someone to exercise your rights if you die or cannot act for yourself.
Inside ProCare you can also ask for a copy of your record, make a link to share it, and turn that link off. To use any right, write to privacy@procare.fit with the subject “DPDP Rights Request” and the number you use with ProCare. We will respond within 30 days. If we must keep a record by law, we will tell you.
9. Children
ProCare is meant for adults. If you set it up for a child, or for an adult who cannot manage their own care, you must be their parent, guardian or authorised caregiver.
10. Changes to this policy
If we change this policy in a way that matters, we will update the effective date above and, where the DPDP Act requires, ask for your consent again.
